Bid Co-ordinator
Purpose of role
Under the direction of the Bid Team Manager, the Bid Coordinator role will assist the Bid Team Manager and the Commercial Director with all aspects of the bid team operation. The aim being to prepare and produce distinctive winning responses across the health, social care and other developing niche markets served by the organisation.
Responsibilities / Duties
• Understand the bid process in order to identify bid opportunities and undertake process requirements
• In conjunction with Bid Team Manager, prioritise and produce plans for the efficient and successful compilation of bid documents to strict deadlines
• Liaise with potential clients and colleagues to gain further information for bids, in conjunction with the Bid Team Manager
• Carry out research, internally and externally as required, to support bid, proposal and presentation production
• Write and produce draft documents in accordance with company standards
• Manage contributions from individual team members and divisions into master documents
• Perform editorial reviews of bids
• Ensure each proposal is prepared to the highest standards of accuracy and presentation to position the organisation correctly
• Manage the dispatch and distribution of documents to schedule, to meet deadlines and confirm timely delivery
• Develop and maintain communication channels with other teams in the business, at all levels, in order to successfully achieve the above
• Develop and maintain a library of documentation to support production of bids and proposals (Bid Library), in conjunction with the Bid Team Manager.
• Maintain high levels of organisation, accuracy and house-keeping of paperwork and documents
• Ensure all files and records are properly maintained to company standards
• Provide administrative assistance to the Bid Team Manager and Commercial Director
• Be responsible for the quality of work and conduct activities in accordance with the company and team quality procedures
• Contribute to the overall success of the bid process, including working to team and personal objectives
• Any other duty as may reasonably be required
Qualifications / Experience
• Relevant experience and willingness to learn are considered to be equally important
• Educated to degree level or equivalent (Desired)
• 1-3 years experience of a bid team/co-ordination role within an office environment (Desired)
• 1-3 years experience of reviewing, writing, editing and producing documents (Desired)
• Experience of writing, editing and producing sales and marketing material
Skills / Training
• High standards in written English comprehension and grammar
• High standards of numeracy

• Competent in reviewing and interpreting complex documents
• Proficient in the use of MS Office tools, including Word, Excel, PowerPoint, Outlook, Internet Explorer
• Knowledge and experience of using MS Visio (Desired)
